11i Uploading a Journal using Web ADI : Step by Step

This post will briefly Let you take quick step by step guide for uploading Journal through WebADI in 11i .

Uploading a Journal using Web ADI

The Web ADI screens are viewed in sequence, each one selecting an aspect of Journal to be uploaded.

Steps need to perform

1. You need to make sure underline responsiblity should be attached to your user id.

WEBADI User linked to the correct Set of Books attached to your responsiblity.

2. Then go to Oracle WEBADI Responsiblity and

Navigate: Create Document (As below)

Once you click this a self servics pages will popup.

3. Select the Viewer

This is first step , where you need to select the viewer, there are number of viewer avaible but you to choose one of them for each template.

4. Click on the Dropdown on the Viewer field.

You can see these are the different options available for viewer.

5. Out of above mention list you need to chhose 'Excel 2003'. Make sure Excel 2003, is installe in your machine.

You should take a if the reporting flag is ticked you will not be able to upload the Journal. Make sure this should be unchecked.

6. Click on Next , bring another screen from which you need to choose integrator. There are number of integrator avaiable in the Current version of EBS. You can also add new one or customize existing Integtor.(Will discuss in another post sepeartly)

7. From the Select Integrator window.

 

8.Select the layout

9. Select the options from the Integrator Dropdown. You can see there are number of different seeded layout available in the EBS.

10. Out of given List, select the General Ledger - Journals Option( this is because we are uploading Journal)

Select the Layout option.
The options are therefore:

  • Functional or Foreign currency
  • Actual or Budget Balances
  • Multiple or Single spreadsheet

11. Click Next

Select whether you want to use a 'Flat File' source spreadsheet for the Journal, if so, you can select Text File - If you choose this option, you will be offered to browse to the file to use. If you select None, then you are offered a blank Integrator Layout to fill in yourself.

11. Select None.

If on checking the summary of all the options you have selected, and you want to change any of the options, you can click on the Back button, and re-select the options.

12. Click on Next

This will bring you at the end of the page, where you need to review the details for which you are creating a template. The final page looks very similar as below:

13. Click the Create Document button

Clicking to this button will create document in excel 2003, you need to wait for few seconds untill the screen will enable button.

13. Once file get generated, the screen will have return button enable.

Once document get created you can open download the excel , it will take some time to get the the template ready for upload.Once template loading get completed, close the confirmation window.

You might get an Active X error message. You will need to change your security settings in your Internet explorer.

This is document which is ready for upload.

14. To enter values into the fields Double Click on the white field to the right of the coloured cells. This will open a subsidiary window to give the find options from the List of system set value options.

You need to select by clicking on the Radio style button, and click on the Select Button.

15. When all the details of the Journal is entered, using double click List of Values search tool, click on the Oracle Menu.

16. Navigate to Upload

17. Select all the Upload Parameters

You will find these options for Rows to Upload

18. Next you need to click on Upload to initiate the Transfer to GL, and if the Automatically Submit journal Import option is checked, the General Ledger Journal import is triggered

19. Confirmation of the success of the sending and the triggering of the import is displayed.

20. Click on Close

21. Success indicators (Green Smiley faces) appear

22. Now you can check the journal Upload confirmation screen with the Journal Import Request I D number is displayed.

23. You can check this is Core Oracle, see the final output and the progress of the Journal import.

24. You can validate this is Oracle

What need to do is you need to use user friendly source name and category name.

This is way to that you can uploaded the Journal through WebADI into Oracle.

hi

we just upgraded from 11.5.9 to 11.5.10.2
When uploading salary info using ADI, the excell sheet is empty and has the following message ‘String Index out of range -1.’

Please help

If you are running 11i10.2 this error should not be logical one.

Check it out your set up for enabling the Active X downloads via IE Security settings and allowed macros in Excel.

Check the minmum setup at three different side.

Internet Explorer:

In Tools Menu: Internet Options: Security Tab: Custom Level for Local Intranet, set the option “Initialize and script ActiveX controls not marked as safe” as Prompt or Enable. It is advisable to keep it at Prompt option.

MS Excel
In Tools Menu: Macro: Security: Trusted Source Tab tick “Trust access to Visual Basic Project”

Oracle Apps
Set the following profile options at user level or site level as required:

1.Set “BNE Allow Set Parameters” to Yes
When enabled, users will have the ability to change their upload parameters

2.Set “ADI: Use Function Security” to No
Prevent users from uploading by setting to “Yes” for a user profile.

By the way, if you’re also familiar with Oracle PSB, then maybe you can assist. For some unknown reason, the budget revision is not creating a journal for some years, but for other years it does.
what could be causing this?

do you mean Oracle Enterprise Planning and Budgeting (EPB) which is used for budgeting is an application for planning, budgeting, forecasting, reporting, monitoring, and analysis.

Thank you very much for the informative article!
I was practising WebADI upload and recently tried to upload the journal entries. The excel sheet opened fine. After selecting the upload parameters I pressed the upload button and nothing happened. The screen froze and entries did not get uploaded.
Could you please let me know your comments on this?

Just as Rita mentioned.. we are also facing similar situation. Excel opens fine, but when upload button is hit, nothing happens. The screen freezes and entries doesnt get uploaded. Happens only on one system. Any suggestions on this and any solution that we can expect?

There is no way that you can update Budget through ADI. Once you upload , it will take a new record.

Dear Sanjit:

Thanks for this informative article.

I followed the steps you illustrated above, but whenevr I try to enter the Accounting date, an error window pops out saying: “Internet Explorer Script error” indicating that an error has occured in the script. if I click “continue”, the responsibility window shuts.

Could you please advice regarding this issue.

when i upload my JE, it will stop at the “processing” page, and won’t go any further, it won’t change to confirmation page, any one can help? My Journal template is good, it worked on my consultant’s computer.

Hi Kathy,

I am suspecting this might be beacuse of excel issue.
What i advice in local machine, download a fresh copy and make sure macro and security as per note is done, then there should not be any issue.

Also make sure what is version of template you are using and which excel version you created? Normally Finance user have bit older software comnfiguration.

We are on 11.5.9 and one of the user is complaining that she cannot see Oracle menu in Excel worksheet? I am new to ADI. Where should I look for to fix this issue. We are on Excel 2007. For rest of the team it Oracle menu shows up on Excel spreadsheet. Please help.

I need help in oracle ADI . I am willing to make a application so that i can apply invoices in AR (finance) easily. i receive around 4000 invoices daily however applying the same in oracle is very difficult as the citrix is really slow please suggest me some application so that i can apply he invoices easily.

Hi,

I am currently using EBS 11i version and each time when I try to upload journal via Web ADI, the template always default to a particular set of book, and I was not able to select different set of book even I do have responsibilities for other Set of Books.

Profiles that have been set at Site level are:
GLDI: Journal Wizard Privileges : Entry, Upload, Submit
GLDI: Budget Wizard Privileges : Entry, Upload, Submit
GLDI: Report Wizard Privileges : Define, Submit
GLDI: Allow Drilldown Across Books : Yes
GLDI: Analysis Wizard Privileges : Yes
BNE Allow Set Parameters : Yes

Is there any other profile options that need to be set or any other setting missing?

Appreciate if any one could provide some advice.

Dear all,
does anyone can say me why, when I open an excel sheet created by WebAdi and when I want to open a list of value, Excel ask me to login and after to choose a responsibility?
I use Excel 2010, windows 7 and oracle 11i.
